How the role has come about
We are looking to expand our team, due to growth and expansion at all of our branches. We have three practices across Central Scotland and we have just opened a custom built branch in Linlithgow, which boasts 7 consulting rooms, 3 operation theatres, dental suite, diagnostic suite and a full floor for just cats!
Job description
Your tasks will include:
• Greeting & welcoming clients, with a helpful & positive manner.
• Answering the telephone with a professional manner.
• Scheduling appointments.
• Taking payments.
• Completing end of day cashing up.
• Issuing refunds (with permission from Practice Manager)
• Updating client records, ensuring data is up-to-date.
• Checking emails & responding as appropriate.
• Attaching laboratory reports & informing relevant clinical staff.
• Stocking reception, maintaining leaflets, business cards etc
• Ensuring reception is kept tidy & clean.
• Ensuring notice boards are kept up-to-date and tidy.
• Communicating with clients regarding orders or repeat prescriptions.
• Accurately charge clients for services & products.
• Communicating with veterinary practices regarding patient histories.
• Passing enquiries regarding veterinary treatments to the relevant clinical staff.
• Patient or stock transfer between practices.
• Stock control; ordering; updating batch numbers.
• Food & pet shops sales.
• Weighing patients for veterinary appointments.
• Maintaining health & safety within the practice (wet floor signs etc).
• Administration duties.
• Insurance duties – completing claims, sending histories, updating client files, ensuring payments of excesses.
• Scanning – consent forms etc - & attaching to computer files.
• Provide excellent customer care.
• Dispense medications under the direction of a Veterinary Surgeon.
• Ability to contribute as part of the team, helping with various tasks as required.

Personal attributes and qualities
Your role is exceptionally important as your appearance and manner create the general public’s first impression of the practice. You should welcome clients & visitors in a warm & friendly manner, remaining professional & courteous at all times.
You will need to be able to multi-task and remain calm under pressure.
Specific experience, knowledge and competencies
Working in the veterinary industry would be beneficial but not essential, good computer literacy and telephone skills are important, but full training will be given.

Workplace overview
Stuart originally came to Westport Vets, Linlithgow in 2011, as an assistant veterinary surgeon, and quickly made partner, after the original owner sadly passed away. In 2018, WPVC acquired two additional branches, in South Queensferry & Edinburgh, after the owner retired. In 2020, Stuart accomplished his dream by buying out his old partner, who was also retiring, and became sole owner to Westport Veterinary Clinic.

Stuart's aim at WPVC is to make the workplace as enjoyable as possible and to achieve this, he has invested heavily both in the team and the equipment. With our team, we ensure their health and wellbeing is looked after by regular in practice events and a healthy social life. All the branches, including the tiny one in Edinburgh, have a fantastic range of equipment to help the team carry out their daily job well.
Stuart's aim is to keep as much of the veterinary work in-house and refer as little as possible, which allows the team to build and develop their skillset and allows our clients to spend their money wisely, rather than referral fees.

The whole team is valued and encouraged to pursue their interests - whatever they may be. Lifelong learning is an integral part of the WPVC ethos and is strongly supported both morally and financially!
